SUMMARY

The Manager of Archives and Records oversees the AANA archives, manuscripts, oral history, and library collections and is responsible for the AANA’s records management program and the governance of the Document Management System.

MAJOR DUTIES & RESPONSIBILITIES

Archives

Accession, appraise, arrange, and describe AANA’s organizational and affiliated group records, personal papers relating to the nurse anesthesia profession, oral history collections, and anesthesia equipment using current archival principles and practices
Catalog archival and library collections in collection management software
Digitize images, textual records, and audiovisual items
Analyze and develop processes to make available born-digital and digitized records on collection management software
Coordinate research and answer reference requests from members, staff, outside organizations, and the general public
Create traditional and online exhibits relating to AANA and nurse anesthesia history
Coordinate the AANA oral history project
Digitize photographs and audio materials
Assist the Governance department with other duties as assigned.
Records Manager

Serve as a resource for the organization for Information Governance, including archives policies, document management, records management and digital asset management.
Develop and maintain the Records Management Manual and retention schedules for the organization; coordinate with each department to ensure compliance
Train AANA staff on the records management manual, and facilitate annual records compliance workflows
Facilitate record holds in cases of litigation
Library

Maintain and update the Archives-Library’s website pages
Purchase books, serials, dissertations and theses for the Library. Route serial subscriptions to staff
Perform literature searches as requested
Prepare and administer the yearly archives budget
Serve as resource for AANA Marketing and Public Relations teams and publications, providing research and documents for promotion and reference.
Qualifications
EXPERIENCE & SKILLS

Three to five years’ experience appraising, arranging, and describing archival materials.
Experience with business or organizational records preferred.
Experience with records management, digitization projects, exhibit creation, and project planning preferred.
Knowledge and experience with electronic records management programs
Experience with manuscripts and handling delicate material
Experience or training accessioning and processing archival documents preferred
Organizational skills and ability to meet established deadlines
Is self-motivated with ability to work independently and collaboratively
Knowledge of Information Governance concepts such as content types, metadata and document life cycles.
Knowledge of oral history production
Excellent written communication skills
Strong organizational and time management skills
Must possess visual and auditory abilities to read and communicate, both orally and writing/typing
Strong knowledge of Office 365 apps and tools
SharePoint knowledge desired
EDUCATION/CERTIFICATIONS/LICENSES:

Master’s Degree in History or Library Science, including formal training in archival principles and practices
Certified Archivist required or willing to obtain
Certified Records Manager preferred or willing to obtain
Association experience preferred
ADA Requirements

Physical Requirements:

Performs primarily sedentary work with limited physical exertion and occasional lifting of up to 25 lbs. Must be capable of climbing/descending stairs in emergency situation. Reasonable accommodations may be made to successfully perform the essential functions of this job. Must be able to operate routine office equipment. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance.
