Archivist/Assistant Director
Position Summary
The Archivist/Assistant Director assists the Library Director in the management of various activities and operations within the library as well as manages the library’s archives and special collections at the direction of the Library Director. Activities may include but not limited to managing and providing access to archival collections adhering to professional best practices, building facility management, equipment management, and service and maintenance contracts; library systems management, technical and support services, digital services, and the Integrated Library System; provide highly responsible and complex administrative support; manages the library in the director’s absence.
Supervision
Reports to and performs duties under the direct supervision of the Library Director. The Archivist/Assistant Director assumes the duties of the Library Director in their absence. The Archivist/Assistant Director is familiar with work routines and uses initiative in carrying out recurring duties independently and with or without specific instruction.
Essential Functions –Archivist
• Oversees operations of the Debra A. Charpentier Archives and Special Collections. This includes acquiring, appraising, accessioning, describing and preserving records, photographs and artifacts, cataloging collections, creating finding aids, and digitization projects to facilitate access
• Assess, prioritize, organize, describe, and make available current collections
• Provides access to collections and provides archival reference services
• Ensures work products such as finding aids, catalog records, and metadata and descriptive outputs provide high quality and adherence to best practices and standards
• Recommends and implements approved policies and systems to effect operational efficiency and improvement
• Investigates archives related grant opportunities; assists in preparing and submitting such grant applications for the library; assists in management and reporting for successful grant applications
• Builds and maintains relationships with local government and community organizations; collaborates with local historical and cultural organizations
• Keeps up to date on current professional literature
• Provides patron assistance at the main circulation desk as needed
Essential Functions – Assistant Director
• Provides support and recommendations to operations, policies, and procedures to the Library Director
• Assists in coordinating and administering library facility functions and capital projects
• Investigates facility related grant opportunities; assists in preparing, submitting, and managing such grant applications for the library
• Participates in the development of the library’s annual budget; request and oversee expenditures
• Assists in payroll and related human resources activities; coordinates staff scheduling
• Assists in strategic planning
• Tracks and analyzes statistical reports; assists with preparation of Annual Report Information Survey and Financial Report
• Represents the Library in the community and develop and maintain collaborative relationships with other library and government entities, elected officials, civic and community leaders, philanthropic and corporate leaders, and neighborhood and community groups
• Supports an inclusive work environment; supports diversity and inclusion in library services
• Performs other duties as delegated by the Library Director
Required Experience, Skills, and Knowledge
• Familiarity with professional standards and best practices related to accessioning, processing, cataloging, and preserving special collections material including rare books, archives and manuscripts, photographs, art, audiovisual materials, and born-digital materials
• Knowledge of descriptive standards: DACS, EAD, EAC-CPF, AACR2, RDA, DC, DCRM, MODS, METS, LCSH, and other thesauri
• Familiarity with digital archives, including planning and policy making around acquiring, imaging, preservation, and discovery
• Working knowledge of software and systems that support services to patrons; experience using archival collections management systems such as CatalogIt, TMS, ArchivesSpace, PastPerfect
• Previous experience working with archives and special collections
• Leadership, analytical skills, creative and innovative problem-solving skills, and a strong commitment to service excellence
• Ability to inspire change; analyze local environment and realize opportunities for process improvement or the implementation of new tools and technologies
• Analytical, organizational, communication, project, and time management skills and demonstrated ability to set priorities, meet deadlines, and complete tasks and projects on time and within budget and in accordance with task/project parameters
• Exceptional customer services skills and effective communication
• The ability to work independently, prioritize tasks, and meet deadlines
• Aptitude for dealing diplomatically, patiently, and consistently with the public, incorporating an outstanding public service demeanor
• Experience communicating and delivering directives to staff
• Knowledge of Fairhaven history is a plus
Education
An MLS/MLIS or equivalent from an ALA accredited program with a focus on archival management and/or certification from the Academy of Certified Archivists. Candidates with a combination of experience and relevant education are encouraged to apply.
Salary
$54,600-$74,800
Employment Type
Full-time/Exempt/Salaried Position. Must be able to work evenings and Saturdays.
