Purpose of Position
Responsible for accessioning, preserving, and processing photograph and manuscript collections. Makes collections more accessible by creating and editing finding aids and promoting Special Collections holdings. Utilizes new technologies to make selected materials accessible in digital formats and creates and edits appropriate metadata. Trains and supervises students, interns, and volunteers in inventorying manuscript materials and other tasks. Provides reference service in Special Collections and specialized library instruction to undergraduate and graduate classes. Assists with creating exhibits and with other special projects. Assists in overall management of the department and occasionally works evenings and weekends

Essential Functions
Responsible for accessioning, preserving, and processing photograph and manuscript collections; participates in acquiring and managing book collections.

Maintains and improves access to the manuscript and photograph collections by creating and updating holdings and accession records, catalog records, and finding aids.

Supervises students, interns, and volunteers in processing manuscript and photograph collections.

Works with members of the University and El Paso/Juárez communities or vendors to acquire primary source materials.

Participates in preservation activities, including preparation of preservation supply orders.

Selects new or rare books for purchase and evaluates gift books in certain subject areas.

Helps to maintain security and physical control over the collections.

Participates in planning, management, and public service activities of Special Collections.

Provides reference assistance to students, faculty, and other patrons using the collections.

Assists in the development and implementation of departmental policies and procedures.

Participates in training and supervision of staff, student assistants, and volunteers.

Provides specialized instruction to classes using Special Collections materials.

Serves as department head in absence of Head of Special Collections.

Participates in public relations and outreach activities.

Helps to prepare brochures, bibliographies, social media posts, and guides to the collections.

Participates in the creation and coordination of exhibits and special events.

Participates in professional activities such as library wide projects and committees, and regional or national organizations dealing with libraries, archives, and special collections.

Serves on committees as needed.

Performs other duties and participates in special projects as assigned.

Complies with all State and University policies.

Other duties may be assigned.

Carries out supervisory responsibilities in accordance with the organization's objectives, policies and applicable laws.

Required Qualifications

M.L.I.S. from an ALA accredited institution, or master's degree in a related field such as public history.

No minimum experience required.

Preferred Qualifications
Desirable Experience or background:

Experience in an academic library, manuscripts repository, or archives.

Must meet basic computer competencies.

Formal training in archival management and description.

Experience as a professional archivist or special collections librarian.

Experience or training in the preservation of art works, books, paper documents, and photographic materials.

Experience preparing exhibits and brochures.

Supervisory experience.

Certification by the Academy of Certified Archivists.

Skills and Knowledge:

Excellent written and oral command of English.

Excellent interpersonal skills, including the ability to interact well with co workers, the university community, donors, and library patrons.

Knowledge of preservation procedures for library and archival materials.

Knowledge of descriptive standards for manuscript collections, photographs, and bibliographic materials.

Proficiency in the use of personal computers, especially word processing and database applications.

Familiarity with standards for digitizing materials for access.

Familiarity with imaging technologies.

Familiarity with encoded archival description (EAD).

A working knowledge of Spanish is highly desirable.

Familiarity with the history and culture of the U.S. Mexico border region is desirable.

Familiarity with academic research methods.

A second master's degree or doctorate in a related field.

Must be able to retrieve book and archival materials from high and low shelving.

Must be able to tolerate occasional exposure to dust and mold.

Must be able to work at a computer keyboard.
