Full Job Description
This position is responsible for working closely with the Director of Curation & Collections. Manages the archives and historical records for the Ilitch companies. Catalogs, preserves and maintains the physical collections, digital collections, art collections, and records of all Ilitch companies, both onsite and at off-site facilities. Responsibilities include managing a small team of colleagues, overseeing a collections management software as well as other databases, making the collections accessible to internal colleagues, working with external vendors, providing historical research support and information to colleagues and the public, and overseeing the spaces and equipment necessary for proper conservation of historical and art assets. This position also works with entities to determine appropriate retention and proper disposal of records that are beyond legal retention time periods.
Key Responsibilities
Preservation and conservation of historical assets, collectibles, records, and art of the Ilitch companies and the Ilitch Family.
Manage company archives for all Ilitch companies, and the Ilitch Family, including processing, appraising, cataloging, accessing, indexing, arranging and describing the collections.
Run and manage the Collection Management Software (CMS) related to the heritage of all Ilitch companies, and the Ilitch Family, with the help of the Archives Team; add/update/remove assets from the CMS as needed; support internal colleagues in navigating the CMS.
Help manage the Digital Asset Management System in collaboration with Curation & Collections Team colleagues and an external Archival Services agency; create, catalog, store, locate, retrieve and back up physical assets related to the heritage of all Ilitch companies.
Manage and oversee central files and off-site facilities for active and inactive business records.
Research new archival opportunities within and external to the company; make recommendations on new acquisitions.
Obtain and preserve important artifacts, documents, and other items of value for permanent display or storage.
Develop, implement and manage an internal knowledge retention program related to intellectual properties and knowledge of archives, records, historical information of all Ilitch companies.
Research opportunities to acquire additional items of significance related to the history of any Ilitch companies.
Utilize technology and research tools to keep current on the availability and value of sports or entertainment memorabilia. Make recommendation on purchases or acquisitions.
Play a strong communication role across representative teams from different Ilitch Companies and the external Archives Services agency.
Assist the Curation Team on projects or presentations as required.
Support Corporate Communications colleagues with contribution requests and media relations activities related to the history of the Ilitch companies.
Help plan educational and public/internal programs including workshops, tours and lectures.
Support the Ilitch companies’ Summer Internship program
Supplemental Job Functions
Support overall collections management activities related to Ilitch Family history.
Performs other duties as assigned.
Minimum Knowledge, Skills and Abilities
Bachelor degree in Library Information Science, Archives/Record Management, History, Museum Studies, or advanced degree in a relevant disciplinary field.
Minimum of 5 years professional experience in an archive or special collections repository.
Experience in one or more of the following environments
Museums or cultural institutions
Sports
Entertainment
Corporate and/or family archives
Evidence of strong records management experience, including the management of digital records.
Experience using Collection Management Software and other databases related to collections management
Previous experience in a position requiring attention to detail and accuracy and record-keeping standards.
Evidence of being innovative and service-oriented approach to internal customers and public stakeholders.
Highly developed verbal, written and presentation communication skills. Demonstrated ability to engage a variety of audiences.
Proficient in Microsoft Office Applications.
Ability to travel and adhere to the corporate travel policies.
Preferred Knowledge, Skills and Abilities
Master’s degree in Library Information Science, Archives/Record Management, History, Museum Studies, or related discipline.
10+ years of professional experience in an archive or special collections repository
Certification from the Academy of Certified Archivists.
Working Conditions
A lot of time spent looking at computer screens/monitors
Exposure to temperatures of below 65 and over 80 degrees on an occasional basis.
Occasional exposure to damp, dusty, and dirty areas.
Able to physically handle collection items and boxes, including the ability to lift boxes weighing up to 40 lbs.
Able to do a significant amount of walking daily (sports and event venues are large!)
Travel to local and out-of-state facilities
