The Oklahoma Department of Libraries (ODL) is now accepting applications for the position of Archivist/Records Management Specialist, Level I in the Office of Archives and Records Management. Salary is $38,837. This position is required to travel from ODL to the State Records Center located at 426 E. Hill St, the Records Annex located at 125 NE 25th St using the employee’s personal vehicle. A full suite of benefits is provided, including health, dental, life and disability insurance; 15 days of annual leave per year, increasing after five, ten and twenty years of employment; 15 sick leave days per year; 11 observed holidays; and a lump sum longevity payment after 2 years of service that increases every two years.

Overview:
As the official state library of Oklahoma, the Oklahoma Department of Libraries (ODL) strives to ensure every Oklahoman has access to innovative, quality library and information resources and possesses the literacy skills needed to be successful in the global economy, to participate in democracy, and to accomplish individual life goals.
Located in the capitol complex at 200 NE 18th St in Oklahoma City, ODL serves the information and records management needs of state government, supports public library development, coordinates statewide information technology projects, and serves the public through its specialized research collections, including state and federal document depositories and the State Archives. ODL has a collection of nearly 700,000 volumes and an annual budget of approximately $9.2 million in the current fiscal year.
Job Summary:
The Archivist/Records Management Specialist I provides professional consulting services to ensure state agencies maintain records according to statutory and regulatory requirements and best practices. They work with state agency personnel, researchers, and members of the public to provide access to records housed at the State Archives and the State Records Center. This process will include accepting the transfer of records into the State Archives or the State Records Center, processing records, creating and maintaining finding aids for records, creating digital copies of records and making them accessible through ODL’s website and other online platforms. In addition, they work with state agency personnel to draft and review records disposition schedules and support the activities of the Archives and Records Commission.
Job Duties:
Develops procedures to control the creation, maintenance and use of public records, including the development of retention and disposition schedules in accordance with Title 67 O.S. Sections 201 et seq. and 305 et seq., state and federal regulations and the records management manual.
Serves as a consultant to state agencies and local governments; appraises public records or historical documents for permanent research value; coordinates transfer of records from agencies to State Archives and/or State Records Center.
Assists persons conducting research; makes documents and other information available on request.
Processes materials and prepares finding aids; monitors the indexing, storage and retrieval of materials.
Makes presentations to professional organizations and conducts workshops and in-service training.
May supervise and/or train personnel in archival and records management functions and activities.
Minimum qualifications:
Master’s degree in archival administration, library science, history, political science, public administration, or a related field; or
Registration with the Institute of Certified Records Managers as a Certified Records Manager (CRM) or the Academy of Certified Archivists as a Certified Archivist (CA)
Knowledge and Skills:
Knowledge of agency policies, procedures and of state and federal legislation related to assigned agency programs
Knowledge of principles, practices, procedures, and techniques of archives and records management
Knowledge of research methods to perform independent research, including electronic resources and library cataloging tools
Knowledge of archival research and technology trends
Knowledge of equipment and materials used in conducting training
Ability to implement archives and records management services and programs
Ability to interpret technical, legal and/or complex materials to meet information requests
Ability to search electronic databases
Ability to establish and maintain effective working relationships with others
Ability to communicate effectively, both orally and in writing
Ability and willingness to travel to historical records collections found in libraries, archives and museums, and meetings and conferences throughout the state
Ability to climb ladders, lift and carry boxes weighing forty (40) pounds
