PRIMARY FUNCTION:
Overall responsibility for ADL’s Library and Archives. Manage, acquire, preserve and make accessible to users documents and other materials that have historical importance for the Anti-Defamation League, with attention to digital initiatives. Assist in long-term planning for ADL’s archival collection.
Responsibilities
Primary:
Oversee strategic planning and management of ADL’s extensive library and archives.
Oversee the fulfillment of all requests requiring the use of archival and library materials, including research and analysis as needed.
Maintain and update the ADL Library’s print and digital collections, and oversee library functions including cataloging, acquisitions, and loans.
Ensure that ADL’s information needs are met, maintaining and making decisions regarding newspaper, periodical, and database subscriptions and coordinating with DI Executive Assistant regarding maintenance of accounts.
Identify and evaluate records for preservation and retention, and implement record retention policies in consultation with General Counsel, IT, and others as appropriate
Oversee distribution, consolidation, and elimination of archived materials in the warehouse.
Arrange for the efficient indexing and retrieval of documents, in accordance with best professional practices (including maintaining, expanding, and improving the archives database).
Recommend and implement preservation and reclamation techniques for fragile materials.
Liaise with DI Executive Assistant regarding warehouse, archival materials suppliers, and other vendors, as dictated by daily archival activities and long-term planning needs.
Set and implement procedures for library/archive staff, including interns and volunteers. Train staff and provide quality control for work completed.
Provide guidance for ADL regional and national staff in sending materials to be archived.
Secondary:
Write finding aids for collections of special significance.
Collaborate with the Information Technology in the use of library software, the archives database and regular office applications.
Use judgment and discretion in dealing with confidential information and apply professional codes of ethics.
Qualifications
Skills:
Familiarity with library operations and functions, including acquisitions, arrangement and description of materials, and loans.
Considerable knowledge of contemporary archival principles and practices.
Considerable knowledge of creating and maintaining databases; knowledge of indexing systems and practices.
Considerable interpersonal, organizational, planning, and project management and oral and written communication skills.
Ability to work effectively with consultants and vendors.
Ability to analyze and solve complex problems pertaining to archival methods and procedures.
PC and Microsoft Suite proficiency.
Knowledge of ADL’s work and interests.
Knowledge of library automation software, GeniePlus preferred.
Some experience with microfilm conversion.
Work Experience:
At least five years of experience with archives management in positions of increasing responsibility.
Education:
MS in LibraryInformation Science with specialized graduate-level coursework in archives management. Certified Archivist (CA) and/or Certified Records Manager (CEM) certification is preferred.
Work Environment:

ADL is a hybrid environment; this role may require 3 days in the office.
Compensation:
This position has a salary range of $66,000 to $86,000. This salary range is reflective of a position based in New York, New York. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
