Location/Department: St. Patrick’s Seminary/Archives FLSA Status: Exempt

POSITION SUMMARY

The Archivist manages the information needs of the Archdiocese and the public by identifying, preserving, and providing appropriate access to records documenting the history of the Catholic Church in the San Francisco Archdiocese. Archival materials are preserved to memorialize the corporate and ministerial activities, enabling continuity in decision making, supporting programs, facilitating historical research and oversight, and the effective management of current diocesan records, and assisting parishes and schools in the administration of their own records programs.

DUTIES AND RESPONSIBILITIES

Develops, organizes, and maintains the archives by regularly reviewing and updating policies and procedures.
Acquires, appraises, classifies, arranges, describes, and provides access to archival materials (office and parish records, dispensations, nihil obstats, marriage testimonials, archbishops’ papers and other documents) in any media (photographs, architectural drawings, construction specifications).
Ensures proper preservation of the archival records in secure, environmentally controlled storage facilities, the use of archival quality supplies, and the implementation of conservation measures when necessary, by qualified experts.
Provides research and reference services according to approved archives policy.
Arranges for regular transfer of inactive records to the Archives according to an approved retention schedule.
Consults with systems experts on appropriate database software to provide an integrated electronic records program for current office and archival records.
Provides advice to parishes regarding archival records and sets up a regular program for microfilming parish registers.
Obtains and provides clear, concise, and complete oral and written information at a level appropriate to the audience, while maintaining confidentiality.
Establishes and maintains effective working relationships with a variety of individuals or groups to complete work assignments, affect outcomes, or provide a service.
Effectively organizes and manages his/her workload taking into consideration changing priorities, deadlines, and the volume of work.
Identifies problems and situations, refers to applicable policies, identifies options and recommends appropriate courses of action.
Archivist

Processes, stores, tracks and retrieves records and information efficiently, in a timely manner, and in accordance with policies and procedures, while maintaining confidentiality.
Serves on committees, attends meetings, and makes presentations where necessary. Submits regular work reports to the Vice-Chancellor.
Develops and implements a records management program for active records in the Seminary including a directory of records, records retention schedules, and vital records identification.
All other duties as assigned by his/her supervisor.
QUALIFICATIONS/EXPERIENCE

Thorough knowledge of Rules of Archival Description (RAD)
A Master’s degree in Archival Studies or an equivalent combination of education and experience in archives and records management.
Certification by the Academy of Certified Archivists is preferred.
Must have a valid California Driver’s License.
Experience/training in MS Word, Excel, and other word processing, database, spreadsheet and standard computer applications.
Previous experience in a religious archiving position is preferred.
Practicing Catholic preferred.

Pay: $75,000.00 - $77,000.00 per year
