General Description
The Archives and Records Management Specialist supports the Archives Director and assists in the activities and services provided by the Archives at the State Bar of Texas. This position is responsible for all routine activities required for the acquisition, organization and access of the permanently valuable records of the Bar—this includes both digital and print material. Responsibilities include accessioning donations and records transfers, processing record groups and creating finding aids, managing the OPAC (Online Public Access Catalog) and providing preservation-appropriate storage. The Archives and Records Management Specialist also shares responsibility with the Department Director for conducting research and providing reference services for staff, Bar members, and the public. Additionally, the Archives and Records Management Specialist has significant records management responsibilities. These include developing an understanding of the Bar’s Records Retention Schedule, ensuring compliance with Texas state agency records management laws and regulations, and educating State Bar staff and volunteers about their records management obligations. Staff education is provided via in-person consultations, on-site training sessions, and remotely as needed.

Primary Functions
1. Works closely with the Archives Director to maintain compliance with Texas state agency records management laws and regulations. Conducts periodic department records inventories with department heads and records liaisons and analyzes the outcome to identify necessary changes to agency records management policies and procedures.
2. Develops and conducts records management training for staff and volunteers.
3. Provides one-on-one records management and retention guidance to staff and volunteers.
4. Provides both internal and external reference and research services.
5. Facilitates and accessions internal records transfers and external donations to the archives.
6. Processes archival material and creates finding aids.
7. Digitizes archival materials for online access.
8. Preserves archival material through proper storage, handling, and security measures.
9. Works with the Archives Director in conducting outreach and public education activities, including providing archival material for State Bar outreach activities and developing exhibits related to Bar history.
10. Attends and participates in ongoing professional development.
11. Develops and maintains the OPAC.
12. Accepts other responsibilities as assigned.

Position Requirements
Master’s degree in information studies, library science, public history, or equivalent, with specialization in archives management preferred. Bachelor’s Degree and Academy of Certified Archivists certification with 2 years experience may be substituted for graduate degree. Records management coursework or ARMA Essentials of Records and Information Management (RIM) Certification preferred. Archives processing experience and a thorough understanding of commonly accepted archival theory and practice required. Knowledge of computer applications in an archives and records management setting required. Knowledge of various archives and records management software products a plus. Knowledge of state and federal records management laws, rules, regulations, and guidelines; standard practices and techniques of records management preferred. Ability to work independently, organize and track work, and understand and articulate how records management policies and process impact the agency required. Excellent written and vebal communication skills required. Must be able to lift boxes up to 50 pounds and climb stairs and ladders.
