Summary
The Assistant Archives Officer works closely with the Historic Preservation and Archives Officer (Archivist) to provide for the daily operation of the Tarrant County Historic Preservation and Archives program; organize and maintain the archival collection of County records, local historical collections, and official records of the Tarrant County Historical Commission; and facilitate public access to and research of these documents.  

The Assistant Archives Officer develops accessible archival material through methods of arrangement, process, description, and preservation by following national standards and best practices.  

The position digitizes a variety of formats from the Archives collections and creates exhibits and displays of select collections and online content for the Tarrant County Archives webpages and social media.  

The position supervises and trains a Project Archivist as well as part-time and volunteer staff.  In the absence of the Archivist or at the Archivist’s direction, the incumbent manages daily operation of the program and staff and assists the Tarrant County Historical Commission.

RETENTION PAY  ($$$)  AVAILABLE FOR TARRANT COUNTY EMPLOYEES

Full-time employees: May be eligible to earn up to 3 retention payments in 2022 totaling $4,900 ($1,000 on August 5th and September 16th, and $2,900 on December 9th.)
 Note:      Employees must be employed on each payment date to be eligible.

Essential Duties and Responsibilities
Supports Archivist in the daily operation and management of the Tarrant County Historic Preservation and Archives program.  Maintains operation of the Archives in the absence of the Archivist or at the Archivist’s direction.
Supervises, directs, and trains full and part-time staff, volunteers, and interns in proper archival techniques and work assignments.
Coordinates the acceptance, accessioning, and processing of new archival materials and collections.
Creates, updates, and maintains accession paperwork, finding aids, inventories, and research tools.
Creates and updates detailed group and item-level catalog records in database format using industry standard practices including Cataloging Cultural Objects methodology and Dublin Core Metadata Element Set.
Executes identification, arrangement, preservation, re-housing, labeling, storage, and location tracking of archived materials.
Digitizes a variety of formats from Archives materials and prepares files for use in research requests, catalog records, publications, exhibitions, and online display.
Performs and documents research on archives materials.  Researches historic locations and resources in the County for recommendation of historical designations.
Performs reference interviews and assists with research requests received by email, telephone, and in person.
Provides assistance to visitors and researchers such as retrieving and refiling requested archives materials.  Compiles archives statistics.
Works with donors to take in collections and loaned materials.  Completes proper forms, documents, and reports.
Develops and drafts grant applications; implements and monitors grant programs.
Provides direction and assistance to the Tarrant County Historical Commission (TCHC) in receipt of donations and research of archival materials and local historical resources.  Provides administrative support to the TCHC as needed for meetings, exhibits and events.
Works with IT staff to maintain database of items and photos, address technical issues, and develop methods for online access to documents.
Performs all other related duties as required.
Minimum Requirements
NOTE: YOU MUST FILL OUT THE WORK HISTORY and EDUCATION SECTIONS OF APPLICATION TO SHOW YOU HAVE YEARS OF EXPERIENCE/EDUCATION AS REQUIRED BY HIRING DEPARTMENT OR BE DISQUALIFIED.

TO APPLY, must have a Master’s degree or higher in History, Archival Administration, or Library Science with a focus on Archival Studies and Archives Management + Two (2) full-time years of related professional experience with a special collection, archives, or a museum position.

OR

TO APPLY, must have a Bachelor’s degree in History, Archival Administration, or Library Science with a focus on Archival Studies and Archives Management + Four (4) full-time years of related professional experience with a special collection, archives, or a museum position. 

Experience in historical and archival research, theory, practice, and knowledge of local history required.  

Academy of Certified Archivist (ACA) Certification or eligibility for certified Archivist status preferred.  

Ability to think creatively, take initiative, solve problems, and work both independently and collaboratively.  

Flexibility, self-discipline, organizational skills, and professional habits to accomplish tasks.  

Proficiency with Windows operating system; Microsoft Office products (email, word processing, spreadsheet, database); Adobe products (i.e. Acrobat, Bridge, Photoshop); content management systems; digital assets management systems; and standard office equipment.  

Knowledge of archival metadata, metadata management, and digital preservation.  

Familiarity in the use of archival electronic recordkeeping.  

Experience in digitizing a variety of formats is required, in addition to using digital cameras and scanners and processing image files .  

Ability to work pleasantly and professionally with staff, the public, and members of the Tarrant County Historical Commission is essential.


If hired, must provide proof of educational attainment
 at New Hire Processing or during the promotional process.
 
Tarrant County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudications in the past seven years and may include credit reports, motor vehicle records, employment records and educational attainment. A conviction or deferred adjudication is not an automatic bar to employment. Each case is considered individually.

While performing the duties of this position, the incumbent is regularly required to bend, carry, climb, climb ladders, grasp/squeeze, hear, keyboard, kneel, lift below the waist, lift between waist and shoulder, lift overhead, and lift to the side/twist, pull, push, reach, reach overhead, see color, see near, sit, squat, stand, stoop, talk, twist, use his/her hands, walk, and work alone and with others.  May require coming into contact with dirt, mold, and dead insects.
