Position Summary:

The Division of Finance and Administration (DFA) provides services and support to over 50,000 students, faculty, and staff with the mission of advancing UCI’s brilliant future and the vision of becoming world-class campus partners. UCI Transportation and Distribution Services oversees all transportation planning, parking, and mail services at the University of California, Irvine. UCI Transportation has an environmental commitment to reduce greenhouse gas emissions from all vehicles traveling on and around the UCI campus. Supervises the day-to-day operations of the records management program, including electronic personnel records systems (PROS) and passport services. Ensures quality control and compliance with established standards and procedures. Assigns, monitors and reviews progress and accuracy of work of records management staff. Works on complex records management issues on behalf of internal and / or external customers including requests for production of documents and retention practices.

$72,600.00

Required:

  • Bachelor’s degree in related field and / or equivalent experience.
  • Minimum of five years’ experience in a document imaging and content operations.
  • Advanced knowledge of records management principles and practices, including personnel records and redaction and retention policies. Advanced experience with automated storage and retrieval systems, and electronic records. Advanced organizational skills and ability to multi-task with demanding timeframes. Interpersonal skills to effectively motivate others and manage performance. Skills to evaluate issues and identify resolutions. Communication skills: both verbally and in writing. Ability to effectively manage multiple priorities.

Preferred:

  • Certified Archivist (CA) and / or Certified Records Manager (CRM) preferred. Passport Acceptance Agent Certification preferred.
  • Knowledge of federal, state regulations and system-wide UC policies and procedures to ensure compliance. Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure. Knowledge of University policies and procedures relating to document management and US passport services.

Special Conditions Required:

Subject to background check. Must have a vaild California Driver’s License and subject to the California DMV Employer Pull Notice (EPN) Program. Must comply with UC vaccine policy. Ability to work in hybrid onsite & remote work environment.
